Amentum Executive Assistant in Camp H.M. Smith, Hawaii

Amentum is seeking a dynamic and innovative Executive Assistant to provide support to the U.S. Indo-Pacific Command (USINDOPACOM) Operations Directorate and specifically to the Director of Operations (2 star Flag/General Office), Deputy Director of Operations (1 star Flag/General Office), and Mobilization Assistant (1 star Flag/General Office) .

  • Have experience supporting the planning, scheduling, and briefing of Flag and General Officers.

You will directly support the USINDOPACOM Director of Operations and his supporting Flag and General Officers as part of the team assisting the Director in execution of his day-to-day operations. This roll will span the full spectrum of Executive Assistant responsibilities to include maintaining of schedules, screens of visitors, maintaining battle rhythm events, preparing daily read ahead binders, coordinating travel arrangements, preparing correspondence, and basic day-to-day administrative tasks.

Essential Responsibilities:

  • Maintain office calendars and appointment meeting schedules.

  • Using detailed knowledge of Directorate leadership’s schedule and priorities, confirm and adjust Directorate staff calendars.

  • Obtain accurate background information on upcoming subject matters and prepare the Director for upcoming calls, visitors, and meetings.

  • Manage Directorate Conference Room daily schedule.

  • Receive and screen visitors and phone calls.

  • Use tact and judgement to determine where to best direct inquiries among Directorate leaders.

  • Engage daily with leadership and the staff to ensure effective office coordination.

  • Manage battle rhythm events and prepare daily read ahead binders.

  • Prepare agenda for meetings and conferences and accurately document and publish summaries of minutes.

  • Take notes for senior leaders at strategic / executive meetings.

  • Create and assemble presentations.

  • Prepare travel orders and make travel arrangements.

  • Manage the scheduling, coordination, and arrangement of senior officer travel orders using the Defense Travel System (DTS).

  • Arrange and coordinate the scheduling of visits based on specific requests and in accordance with travel regulations.

  • Accurately prepare itineraries, travel orders, and vouchers for travel.

  • Coordinate and arrange meetings and conference events on Oahu.

  • Assist in the coordination of Distinguished Visitors events to include coordination and guiding of action officers in support of DV engagements.

  • Compose and prepare correspondence.

  • Produce a wide range of documents from own composition, brief instructions, or rough draft from other staff members

  • Distribute taskers and requests for information to Directorate staff.

  • Prepare reports, records, briefing materials, and narrative material required to support the Directorate.

  • Review correspondence for completeness, proper grammar and command standards.

  • Recommend staff assignment for action based on standard procedures, command priorities, and knowledge of various supervisor’s program areas.

  • Follow-up on incoming correspondence to ensure timely and appropriate staff action is being taken.

  • Manage day-to-day operations with the executive office.

  • Collaborate closely with Military Executive Assistants and J3 Directorate personnel on office execution.

  • Interpret, organize, and coordinate work assignments.

  • Execute and manage Directorate administrative and logistical support.

  • Ensure effective daily office operation.

Minimum Requirements:

  • Bachelor's degree

  • At least 10 years of experience supporting Department of Defense.

  • At least 3 years of experience on a Flag/General Officer staff.

  • Prior experience as a Flag/General Office Aide, Executive Assistant, Writer or other front office key position.

  • At least 3 years of experience in the Indo-Pacific Area of Operations.

  • Experience in writing reports, graphics, and information papers.

  • Experience analyzing operational data.

  • Proficient at Microsoft Office applications (Word, Excel, PowerPoint).

  • Must have an active Top-Secret clearance and be SCI eligible. Note: US Citizenship is required to obtain a Top-Secret Clearance.

Preferred Qualifications:

  • Master's Degree and/or attendance at Service Command and General Staff College.

  • Experience coordinating with other Department of Defense (DoD) entities, including the Joint Staff, the Office of the Secretary of Defense and USINDOPACOM's Service Components as well as non-DoD organizations such as DHS and State Department.

The salary range for this position is $145K to $165K. (Salary to be determined by the education, experience, knowledge, skills, and abilities of the applicant internal equity, and alignment with market data.)
